  • We do not use centralized Customer Relationship Management (CRM) systems. A CRM is a software platform used to store, track, and analyze large volumes of client data, often shared across an entire organization. This often includes all phone calls, texts, and web activity.
  • Instead of routing your information into a company-wide system, we split information into two silos. The first is website-derived information, which is used by essential staff to improve your experience and is stored securely with our mailing list, including your stated preferences. The second is service and transaction information. For this, we maintain a broker-first model where your communications are kept directly between you and your broker.
  • We do not use mass shared inboxes—email accounts that allow all staff to view incoming inquiries. At Swan Land Company, each inquiry is sent to either our excellent office staff or directly to the responsible broker, ensuring a direct, private, and personalized response.
  • We uphold an expectation of privacy throughout all transactions, ensuring discretion and confidentiality tailored to your needs.

 

Document Control

  • Documents related to transactions are carefully managed, with access strictly limited to your relevant dedicated broker(s) and essential internal staff only.
  • Sensitive information is securely handled and stored following stringent confidentiality standards.
  • Transaction files are maintained with individual broker oversight, not pooled into generalized client databases.

Montana, Wyoming, Idaho, and Nebraska
